If you register via Eventify, a third-party event ticketing and management platform,  the following data may be collected and processed:

  • Name and email address;

  • Company name;

  • Job title;

  • Country;

  • Ticketing and access credentials;

  • Payment details (processed directly by Eventify, we do not store financial information).

  • Invoicing details (first name and last name, organisation / workplace, address, city, country, company code, VAT code).

  • Device model;

  • Unique device identifiers;

  • Information about the operating system and its version;

  • Mobile operator and network information;

  • Device storage information;

We may process your Personal Data for the following purposes:
Event Management: Register and manage your participation. (Legal basis: Contractual necessity, Article 6(1)(b) GDPR).
Marketing & Communication: If you have previously attended one of our events, we may use your contact details to inform you about upcoming similar events. The legal basis for this is our legitimate interest to provide relevant event opportunities to our past participants (Article 6(1)(f) GDPR, Article 13(2) of Directive 2002/58/EC of the European Parliament and of the Council of 12 July 2002 concerning the processing of personal data and the protection of privacy in the electronic communications sector). You can opt out at any time by using the "unsubscribe" link in our emails or by contacting us.
If you have not previously attended our events, we will only send you marketing communications with your explicit consent (Article 6(1)(a) GDPR).
Event Information: Share event materials, session recordings, and surveys. (Legal basis: Legitimate interest, Article 6(1)(f) GDPR).
If an event is recorded or photographed, we may use the media content for documentation, event promotion, or marketing purposes. Where required by law, we will obtain explicit consent before using identifiable images, audio, or video of attendees for external promotional purposes.
Direct Communication: Contact you for event-related matters. (Legal basis: Legitimate interest, Article 6(1)(f) GDPR).
Compliance & Security: Ensure a secure and legally compliant event experience. (Legal basis: Legal obligation, Legitimate interest, Articles 6(1)(c) & 6(1)(f) GDPR).

Media, Photography & Recordings

Recordings, photography, and live streaming may take place during the Conference.
We may record video, take photographs, and capture audio content at the venue and during virtual sessions. This material may be used for:
Live streaming or broadcasting the event
Marketing and promotional materials (e.g., website, social media, press releases)
Event archives and documentation
By attending in person or joining online, you acknowledge that you may appear in these recordings or photographs. 
If you do not wish to be recorded or photographed, please contact us in advance at privacy@gurtam.com or notify event staff upon arrival.
Sessions may be recorded and archived for future access. You will be notified before any recording begins.
We will always comply with applicable data protection laws regarding media usage. Where required, we will obtain explicit consent for certain types of media processing, such as featured interviews or close-up photography.

How long do we keep our personal data?

We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, including compliance with legal, regulatory, and contractual obligations. The retention period may vary depending on the type of data and applicable legal requirements.

Media and Publicity: Event recordings and photographs may be shared publicly on our platforms or with press partners.

Event Organizing Agency: We work with a third-party agency for event management. They may process your data only to the extent necessary for logistical and operational purposes.

Sponsors & Exhibitors:
Sponsors and exhibitors may receive limited attendee data (such as company name and job title) if they offer presentations, product demos, or networking opportunities.
Exhibitors using lead retrieval tools may collect your data if you actively interact with them.

In cases where media content is processed by third-party service providers (e.g., professional photographers, streaming platforms, or marketing agencies), we ensure that appropriate data protection safeguards are in place. If any third party requires independent use of media content, we will seek explicit consent where required by law.

 

International Data Transfers
