Code of conduct

UAB Gurtam (“Gurtam”, “organizer” or “we,” “our,” or “us”) is a telematics and IoT solutions developer. The Telematics and Connected Mobility Conference (“Conference”, “event”) by Gurtam is committed to creating an enjoyable, respectful, and safe environment for all participants — both offline and online. By attending, all participants agree to abide by this Code of Conduct, which is enforced by the conference organizers to ensure a secure and respectful experience for everyone involved.

Scope

This Code of Conduct applies to all attendees, speakers, staff, and other participants engaging in any Conference activities.

Participant Obligations

By participating in the conference, attendees, speakers, and partners acknowledge and agree to:

  1. Follow the rules and guidelines outlined in this Code of Conduct.

  2. Treat others with respect, professionalism, and consideration.

  3. Communicate openly and constructively, valuing diverse perspectives.

  4. Follow all applicable laws and venue regulations.

  5. Respect personal boundaries and privacy, ensuring that any photos or recordings of individuals are taken and shared in accordance with applicable laws and event policies.

  6. Comply with instructions from event organizers and venue staff.

Unacceptable Behavior

Unacceptable behavior includes, but is not limited to:

  • Harassment and discrimination: Intimidating, abusive, discriminatory, derogatory, or demeaning speech, materials, or actions. This includes jokes, language, or comments related to gender, gender identity, age, sexual orientation, disability, physical appearance, race, ethnicity, political opinions, religion, or preferred technology.

  • Violence and threats: Physical violence, threats, or the use of violent or obscene language or gestures directed at others.

  • Unwanted attention: Inappropriate physical contact, unwanted sexual attention, or any other form of unwelcome behavior.

  • Content misuse: Displaying offensive or inappropriate images or videos in public spaces; taking intrusive photos, videos, or audio recordings without explicit permission; and using event content for social media without consent.

  • Disruption: Interrupting speakers, sessions, or events intentionally.

  • Health and safety violations: Non-compliance with rules and restrictions put in place by organizers to ensure the health and safety of all attendees.

  • Political or social campaigning: Promoting political appeals or campaigning for social positions that lack a broad societal consensus.

Consequences of violations

The organizers reserve the right to take appropriate action in response to violations of this Code of Conduct. Actions may include:

  • Issuing a warning.

  • Removing offenders from the event without a refund.

  • Escalating the matter to venue security or local law enforcement.

Reporting issues

If you experience or witness unacceptable behavior or have safety concerns, please notify a member of the organizing team immediately. Organizers can be identified by their branded badges. The team is prepared to:

  • Assist with contacting venue security or local law enforcement.

  • Arrange escorts.

  • Provide other support to ensure attendees feel safe and respected.

Ticketing and payment terms

  • Ticketing, refund, and cancellation terms are determined by the event registration platform. Attendees should refer to the Refund and Cancellation Policy available at: https://conference.gurtam.com/

  • The Conference organizers do not directly process ticketing transactions or refunds but work with an event platform to facilitate smooth event access.

  • Any ticketing-related issues should first be addressed via the official registration platform. However, attendees may contact the Conference organizers for further assistance if unresolved.

Recording, photography, and media usage

The Conference may be recorded and photographed for promotional and and event-related purposes. These recordings may be shared publicly, including on social media and promotional materials, in compliance with applicable data protection laws.

Any processing of personal data related to recordings will be handled in accordance with the Conference’s Privacy Policy and applicable data protection regulations.

Unauthorized recording, distribution, or use of session content without explicit permission from the organizers is strictly prohibited.

If participants have concerns regarding photography or recording, they may contact the organizers to discuss potential accommodations.

General guidelines

All participants are expected to adhere to this Code of Conduct at:

  • All conference venues.

  • Any public events or activities associated with the conference.

Health and safety

  • All attendees must comply with venue-specific health and safety regulations.

  • In case of an emergency, please follow the guidance of event staff and local authorities.
